Civic Center Reservation Policy

Reservations for the Carbondale Civic Center may be made by contacting the Civic Center Manager. All lease agreements are subject to approval by the City Manager. A lease agreement is not a binding agreement until it has been accepted and signed by the City Manager or his designee. The City of Carbondale reserves the right to amend the Reservation Policy.

A deposit is required to reserve times and dates for the Civic Center.

General liability insurance is required at the discretion of the City for large events, weddings, trade shows, etc. having the City of Carbondale as additional insured. This must be submitted upon payment in full - or 60 days before event date.

If requested dates are available and the date requested is more than 60 days in the future, half of the rental fee is required, accompanied by a signed lease. This lease, along with a deposit, must be executed and returned within ten (10) days. Acceptable forms of payment are cash, check, Visa and MasterCard. All returned checks for deposit or rental fee payment are subject to a TWENTY DOLLAR ($20.00) service fee.

The remaining rental fee is required 60 days prior to the scheduled event. If the remaining fee is not paid within 60 days of the event, the City will not maintain the reservation for the event's date.

Depending on availability, the Civic Center will schedule events less than 60 days in advance. However, rental fees must be paid in full upon scheduling.

Ancillary items (see attached list), including food and beverage service added subsequent to the initial lease agreement, will be billed to the lessee following the event. Payment for these items is due within thirty (30) days. A 1.5% service fee will be assessed to any unpaid balance.

The Civic Center will require an additional surcharge for overnight holds or lock-ins.

Exceptions for payment by purchase orders will be made at the City of Carbondale's discretion. Lease must be returned with signed purchase order.
